Frequently asked questions
Everything you need to know about the product and billing.
How does Ben integrate with our existing HRIS and payroll systems?
Yes. Ben is designed to fit into your existing HR, IT, and finance ecosystem with minimal friction. Supported integrations include:
- HRIS — automated employee data sync for onboarding, offboarding, and lifecycle management, with provisioning and deprovisioning tied directly to your HR system.
- Payroll — payroll data flows are configured during implementation and formally validated through two full payroll cycles during UAT before go-live.
- Benefit providers and brokers — direct integration with your existing provider relationships, with introductions and technical requirements confirmed during Requirements Gathering.
- IT and domain configuration — domain whitelisting and all technical prerequisites are formally validated by your IT team and signed off before platform build begins.
For complex IT environments, our implementation team works directly with your security and infrastructure teams, with requirements tracked in a RAID log reviewed weekly until launch.

How does Ben handle implementation?
Ben's implementation process is designed to move quickly and efficiently, with timelines tailored to each customer's specific requirements, workflows, and internal team capacity.
Every implementation follows a structured four-stage process: Requirements Gathering, Platform Build, User Acceptance Testing (UAT), and Launch Readiness & Hypercare.
Requirements are captured through a combination of AI-supported tooling, structured workshops, and a shared Benefit Design Tracker. Benefits are then configured using a blend of AI-assisted and manual setup, with a single Implementation Manager able to coordinate delivery across multiple countries. Before go-live, every benefit is rigorously validated through UAT — covering eligibility, pricing, and payroll accuracy.
The result is a controlled, well-governed rollout with clear milestones, aligned to your internal timelines, and designed to minimise disruption to your day-to-day operations.

How do you handle compliance across multiple countries?
Ben supports complex, multi-jurisdiction programmes with enterprise-grade security and compliance controls:
- ISO 27001:2022 certified — zero non-conformities at our most recent independent audit.
- GDPR compliant as both data controller and processor, with a dedicated DPO.
- FSQS registered — required by many financial services and regulated-sector employers.
- Cyber Essentials certified, aligned to NIST CSF and CIS Benchmarks.
Our infrastructure runs on AWS, deployed across availability zones in London, with backups in Ireland. All data is encrypted at rest using AES-256 and in transit via TLS 1.2+. Key management is handled via AWS KMS with automated rotation. You can view our live control status at trust.thanksben.com.

What makes Ben different from other benefits platforms?
Many enterprise benefits platforms have a history of over-promising and under-delivering. Ben is built differently — as a partner that validates its claims before you commit, and stays accountable long after go-live.
- Built for enterprise complexity — 140+ countries supported, with rapid multi-country rollout capability.
- Genuine flexibility — core benefits, allowances, reward & recognition, and total reward statements all managed in one place, with no-code configuration and no change fees
- Enterprise-grade security — ISO 27001:2022 certified, GDPR compliant as controller and processor, FSQS registered, AWS-hosted with AES-256 encryption. Live trust centre at trust.thanksben.com.
- AI-powered implementation — AI-assisted requirements gathering, an AI benefits builder, and automated UAT testing accelerate delivery while maintaining full governance and human oversight.
- Strategic consultancy embedded in the product — a dedicated Benefits Strategy & Communications team offers packages from benefits health checks to full transformation programmes, working alongside the platform rather than as a separate engagement.
- Rigorous pre-sales validation — we conduct technical due diligence with your team and pre-configure a working environment that simulates both implementation and ongoing BAU configuration. You can assess how the platform actually performs in practice before you sign — something most competitors are unable or unwilling to offer.
- Post-launch accountability — structured Hypercare, dedicated Technical Account Manager (TAM) and Customer Success Manager (CSM), AI deflection tracking, and transparent reporting on adoption and programme health — not just at launch, but ongoing.
